Approve Product Highlights: A compact summary of the key new features

In recent months, Fabasoft Approve has developed new AI-supported functions that we use to optimize your document and quality management and raise your process efficiency to a new level.

 

1. AI-supported document chat: Quick answers to extensive information

Documents such as operating instructions or test instructions can be instantly searched after indexing. Ask specific questions about one or more topics. The AI searches the content and delivers precise answers in natural language. This also works with a “document collection” containing several documents.

Your benefit:

  • Fast access to company knowledge: The chatbot helps you to quickly find information – including information in documents, reports or internal databases. This saves time and manual searching.
  • Data control at all times: The chat only accesses internal company knowledge, which means that Approve does not process sensitive and confidential information in unsecured environments (such as the open internet).
  • Quick overview of a wealth of information: The AI automatically creates concise summaries of long and complex documents, so you can access the most important information at the touch of a button – without having to go through the entire document.

 

2. AI-generated 360-degree views: Comprehensive presentation of all relevant information

The AI automatically creates 360-degree views for projects, products or components by identifying metadata such as material or product numbers, the KKS identification system for power plants or the Document Kind Classification Code (DCC) in technical documents and linking it to existing information. For example, a click on this metadata within a technical drawing allows the user to open the 360-degree view. Approve presents all the relevant data in a clearly laid-out dashboard. If you need more information, you can easily navigate further within the system and find all the data available on the topic.

3. AI-filled questionnaires: Automated list completion

You can easily import catalogs of questions such as lists of requirements, inspection plans or audits as Microsoft Excel tables into Approve. The AI analyzes existing data and automatically fills out the questionnaire. You can then review and revise the generated responses. Individual questions can be assigned to the respective responsible persons via Workflows for approval. Thanks to the “time travel” function, you always have an overview of all the changes made. Should it be necessary to forward the completed catalog of questions to third parties, this can be done seamlessly via the export of an Excel spreadsheet.

4. AI-generated forms: Efficient data extraction

Approve automatically extracts technical key figures, serial numbers and other metadata from your documents and uses them to create web-based forms. You can sort, filter and edit this structured data much as you would in a spreadsheet program, which makes managing it much easier.

5. AI-supported document classification: Automatic organizing of your information

The AI classifies and sorts documents, e-mails and attachments based on their content and metadata. It automatically assigns each document to the correct category and links it to relevant information, thereby saving you valuable time and resources.

In this example, the service technician informs the internal department by e-mail about a defect detected in a gear wheel. The AI scans this e-mail (including all attachments), uploads it to the system and automatically fills in all the metadata contained in the documents.

6. AI-supported 8D process: Intelligent complaint management

An 8D report is a document that the supplier and customer (but also internal parties) exchange in the context of quality management in the event of a complaint. “8D” stands for the eight mandatory disciplines (process steps) that are required when resolving a defect in order to overcome the underlying problem. With Approve's smart 8D process, the AI learns from past projects and provides you with recommendations based on the context at each step of the process.
