BayWa AG digitizes business processes with Fabasoft Contracts

Digital contract management enables uniform control of tens of thousands of supplier contracts in the cloud

BayWa AG is digitizing its contract management and the associated business processes with the software "Fabasoft Contracts". With the help of transparent workflows and a clear document preparation, the company is always informed about all contract contents and deadlines. Current governance and compliance regulations are also always taken into account.

 

At BayWa AG, a broad network of suppliers from various business units results in tens of thousands of contracts every year that need to be actively managed. In order to be able to map the different contract management of the individual areas of energy, agriculture and construction in a standardized way and at the same time design them flexibly, the internationally active trading and service company has now digitized its supplier agreements. The decision was made in favor of the contract management software "Fabasoft Contracts".

 

"Fabasoft Contracts is not only easy and intuitive to use, but also has high quality and security standards," explains Thomas Klingels, Head of Strategic Purchasing at BayWa. "With the same amount of time, we can now do all those things that were previously not possible with this speed of implementation, such as anchoring new legal regulations, such as the LkSG or EEG, in all agreements at an early stage. Contract adjustments and exchanges with external partners succeed seamlessly and securely."

 

"Maximum data protection and information security are basic requirements for many companies these days," adds Robin Schmeisser, Managing Director of Fabasoft Contracts GmbH. "With independent certificates such as the EU Cloud CoC, Level 3 or the BSI C5 test certificate, the Fabasoft Cloud demonstrably meets these."

 

BayWa manages all supplier agreements in the cloud-based standard product from Fabasoft. Currently, almost 350 internal users from the construction, IT and strategic purchasing departments, plus suppliers, are working with the software. The roll-out to the remaining business units is being planned. Authorized employees and external partners access a common version for each contract in digital data rooms. Automated contract templates including a clause library and structured workflows along the contract lifecycle simplify the processes, as do integrated deadline management and an intelligent full-text search function for quickly finding individual documents in the entire archive.
